Office clearance quote photos: what to show

Take useful office clearance quote photos of furniture, quantities, condition and the route out. Add access notes so the team can understand the work.

A useful office-clearance photo shows what needs to go and how it can get out. A few clear views, backed up by quantities and access notes, are more helpful than lots of close-ups with no context.

1. Start with a view of the whole room

Stand where you can show the groups of furniture and their position in the room. If everything will not fit in one photograph, take a second view from another angle.

Identify what is staying as well as what is going. If the room still contains working desks or another team's equipment, explain which pieces are included. A photo alone cannot tell us who owns an item or whether you want it removed.

2. Show the quantity and condition

Include a written count of each item type. Chairs and cabinets can hide behind the first row, and a wide-angle photo can make furniture appear smaller than it is.

Use closer photographs for damaged pieces, unusually large items or desks that might need dismantling. Mention missing components and whether a filing cabinet is empty, locked or particularly heavy.

A useful example

“Eight assembled desks, 12 task chairs and three empty filing cabinets, all on the second floor.” Add the photos to show the layout and condition.

3. Photograph the way out

Show the relevant doors, corridors, stairs and lift. If there is a tight turn or a narrow doorway, photograph it from enough distance to show the restriction. Include measurements for oversized furniture where you can provide them safely.

A photo of a lift entrance does not show its full size or capacity. Ask the building manager for relevant details, together with any booking rules. Tell us whether the lift will be available on the proposed date.

Photograph the collection access and explain where loading can take place. Flag gates, height restrictions, shared entrances or time limits that might affect the arrangements.

4. Add the details photos cannot show

  • Your office postcode and floor level
  • Approximate quantities of each item
  • Your preferred date and any fixed deadline
  • Building-access or loading restrictions
  • Any items needing separate handling
  • The person coordinating the clearance

Keep screens, paperwork, badges and confidential material out of the images. There is no need to send private documents to show us an office desk.
